Privacy policy

1. Information we collect
- Booking information: your name, email address, time zone, meeting type, appointment time, and any phone number, meeting notes, or cancellation/rescheduling reason you provide. Booking records also include status, timestamps, and an IP address for security and abuse prevention.
- Host account information: name, username, email, time zone, profile details, availability, and a password hash. Optional profile images are public on the host’s booking page.
- Connected calendar information: the connected account/calendar identifier, calendar list and selected calendar identifiers, busy periods, authorization tokens, and booking event identifiers and meeting links.
- Operational information: session cookies, rate-limit records, delivery/reminder records, and error logs. Our hosting and email providers may process connection and delivery metadata to operate their services.
2. Why we use information
We use this information to display availability, create and manage appointments, send transactional confirmations and reminders when configured, synchronize booking events, provide support, and protect the service against abuse. Guest details are available to the appointment host and authorized administrators for those purposes. Please do not put passwords, financial details, medical information, or other unnecessary sensitive information in booking notes.
3. Google Calendar access and use
A host may authorize BookingIQ to access Google Calendar. The current integration requests calendar.readonly and calendar.events permissions. These permissions allow reading calendars and calendar events and creating, changing, or deleting events. BookingIQ’s implemented scheduling functions use the calendar list and free/busy intervals for the selected calendars and manage the events created for bookings on the primary calendar. It does not copy unrelated event titles or descriptions into the booking database.
For a booking, BookingIQ sends Google the appointment title and time, guest name and email, and any included phone number, notes, location, or booking-management link. Google may send invitations and event updates to attendees according to the host’s settings. BookingIQ can request a Meet link and stores the resulting event identifier and meeting link. It does not record meetings or access Gmail inboxes.
Google authorization tokens are stored encrypted so the integration can work when the host is away. Google account passwords are never requested by BookingIQ. If Gmail SMTP is configured, its separately supplied App Password is stored encrypted and used to send booking email.
Limited Use: BookingIQ’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Google user data is used only for the scheduling features described here, not for advertising, sale, credit decisions, or training generalized AI or machine-learning models.
4. How information is shared
- Hosts and attendees: relevant booking details are shared with the host and through confirmation emails, calendar invitations, and meeting-management links. Treat your booking link as private: anyone who has it may be able to view, reschedule, or cancel that booking.
- Service providers: Hostinger provides the hosting infrastructure. Google processes information when Calendar, Meet, or Gmail SMTP is used; a configured email delivery provider and recipients’ email providers process transactional messages. Calendar visibility follows the host’s Google Calendar sharing settings.
- Support, security, and legal needs: information may be accessed as needed to address your support request, investigate abuse, or comply with applicable legal obligations. Access to Google data is limited to the purposes and exceptions permitted by Google’s Limited Use requirements.
BookingIQ does not sell personal information or share Google user data for advertising. This deployment does not include advertising trackers or third-party analytics scripts.
5. Cookies, storage, and security
The app uses a session cookie for sign-in and request protection and browser local storage to remember the selected time zone and time format. You can clear these through your browser; doing so may sign you out or reset preferences. These public information pages do not use analytics or tracking scripts.
Connections use HTTPS. Account passwords are hashed, and stored integration secrets and Google tokens are encrypted. Application data is stored on the hosted server and may be included in hosting backups. Authorized server administrators can access stored data; encryption does not make it inaccessible to the operator. No internet service can guarantee absolute security.
6. Retention and deletion
Booking and host account records remain stored until the operator removes them; this version has no automatic booking-retention deadline. Cancelling an appointment changes its status and does not erase its booking record. Contact us to request deletion of your booking or account information.
Disconnecting Google Calendar in the app removes the stored Google tokens, connected calendar details, and associated free/busy cache from the active database, and attempts to revoke Google authorization. It does not by itself remove existing booking records, previously created calendar events, sent email, or copies held by recipients. Those copies are subject to the applicable provider’s or recipient’s controls. Hosting backups may retain older copies until the provider’s backup rotation removes them.
7. Your choices and requests
You may use the booking-management link to reschedule or cancel where available. Hosts can disconnect Google Calendar in the admin area or revoke access through their Google Account connections. To request access, correction, or deletion, email bbb.bookingiq@gmail.com from the address associated with your booking or account. We may ask for information needed to verify ownership. Applicable privacy rights depend on your location; requests will be handled under the laws that apply.
8. Updates and contact
We may update this policy when the service or data practices change and will update the effective date. Material new uses of Google user data will be disclosed and, when required, require renewed consent before that use begins.
